How to Manage Roles and Permissions in Netsuite

Have you ever wondered about how to manage roles and permissions in Netsuite? If so, then it’s crucial to consider some of the key features you should know about what Netsuite is and how it works. Fortunately, our team is on hand today to give you a little more insight into how to manage roles and permissions in Netsuite and why this might be valuable for your own task management.

What is Netsuite?

Before we go any further, we should first start by considering what Netsuite actually is, to help you determine whether this could be the most suitable tool for your business to implement. Netsuite, at its simplest, is a unified business management suite that allows for thorough enterprise management, all in one handy place. Just a few of the different features that Netsuite can offer include ERP and Financials, CRM, and e-Commerce support.

Of course, managing a business is getting more and more complex with each and every day. Luckily, providing full visibility across the board, Netsuite is effective for helping management teams optimize task delegation and create the most effective solutions for their staff management. As part of this goal, management teams are able to manage roles and permissions for their staff directly through the Netsuite app, which is worth considering to make the process of using the app simpler and more effective.

How to Manage Roles and Permissions in Netsuite

In order to get started with managing roles and permissions in Netsuite, you’ll first need to login to the Netsuite platform. This is a relatively simple process, but if you haven’t logged in before, we recommend following the steps outlined in this tutorial guide that helps you with logging into and setting up your account. It may be worth considering here that Netsuite integrates several handy features for your account security, including two-factor authentication, security questions, and the like, so you may need to answer these to log in for the first time.

Check Roles are Setup

Once you have logged in to your Netsuite account, the next step is to navigate to the roles page, where you should have already created the relevant roles for your business. Of course, every business has different roles with different permissions, so you will need to first set these up manually to ensure Netsuite is relevant for your business. If you have not yet created authorized roles for your business, follow the guide here to learn more about this process.

If you have the role in place already, you can begin assigning roles to your individual business employees. Once the employee’s role is set, you won’t need to set it again unless the employee’s role changes in the business (for example, if they change departments).

Assign Roles to Employees

To assign the role to the employee, you should first start by heading to the employee’s individual page on Netsuites and then open up their employee record. This will load a page that looks similar to the following page (although with your employee’s details filled out based on their individual details).

From here, you should then scroll down the page a little, and navigate to the tab entitled “Access” which you can see on a blue menu screen towards the bottom of the page. Upon clicking on the access tab, you will be able to see the Roles section of the employee management. This section has a search bar, where you can search for the name of the role of the staff member. This is shown below when searching for a Netsuite Support Center role; however, you should choose this based on the type of role you set up earlier.

Finally, once you have allocated the role from this page, you should select the role and click “add” to add it to the employee’s details. Then, make sure you save the new role on the employee’s page to ensure your changes save once you leave the page.

Always Check Any Edits You Make!

This will allow your staff member to use all of the roles and permissions provided based on that role type. However, be sure that you check and double check this carefully, as assigning the wrong role to the wrong staff member could result in further hassles down the line to sort this out. It’s not a major problem, but it’s nevertheless a pain to have an employee unable to do their job properly due to waiting on access to be granted – and, after all, time is money!
